Corporate Gifting With Meaning: A Planning Guide for Teams and Clients

Handcrafted gift items set out on a wooden table for a corporate gifting order: terracotta tea cups, painted coasters, a storage box and a blank card

A corporate gift is read twice: once when it arrives, and again when someone decides whether it stays on the desk.

The HR lead has a spreadsheet with 140 names and one empty column. The column is headed "Gift." It is the first week of October, and Diwali is a month away.

Last year, 140 identical boxes went out. They were well packed and well meant. Nobody can now say what was inside them.

This year she wants the gift to say something about the company, and she has the usual constraints: a budget per head, a deadline, a finance team that will ask questions, and recipients across offices and beliefs.

This guide is for her, and for anyone gifting a team or a client list in India. It covers who to give what, how to set the budget, the tax rules that sit behind it, and how to plan backwards from the day the gifts must arrive.

Start With the Person, Not the Product

The same gift cannot do every job. Match it to the relationship.

The whole team, at a festival. Choose small, useful and neutral: terracotta tea cups and golden grass table mats, hand-painted wooden coasters, a paper mache storage box. Nobody has to find room for them, and nobody is excluded by the festival.

New joiners and work anniversaries. Choose something for the desk that outlasts the first month: a wooden storage box or a set of coasters, or a bag or stationery piece.

Key clients and senior partners. Choose a single piece with a story: a framed palm leaf engraving, a lacquer wall hanging or a Dhokra brass figurine, each cast or made by hand. If you are unsure of the recipient's beliefs, avoid religious subjects.

Teams spread across cities. A digital gift card removes the logistics. Taalapatra's eGift Card can be scheduled for a chosen date, and bulk and corporate requests go through the form linked on the product page.

A mixed-faith workplace. Choose objects, not festival symbols. Our festive gifting guide covers the season in full.

Apparel is harder. It needs sizes, which a corporate list rarely has, so objects are the safer choice.

Set the Budget in Tiers

Do not give everyone the same thing at the same value. Three tiers cover most companies: the whole team, key clients and partners, and leadership or long-term relationships. Spend more per head on the smaller tiers, and keep the largest tier modest and truly useful. A well-chosen small gift reads as thought. An expensive generic one reads as a line item.

The Rules Behind the Budget

Gifting is a tax event in India. These figures are as of October 2026, and you should confirm them with your chartered accountant, because the rules change.

Gifts to employees. Under the Income-tax Rules, 2026, which took effect on 1 April 2026, the perquisite value of a gift, voucher or token from an employer is treated as nil when the total in a tax year does not exceed ₹15,000 per employee. The earlier limit was ₹5,000. Cash is generally taxed as salary, so keep gifts in kind.

GST on employee gifts. The Central Board of Indirect Taxes and Customs has stated that gifts up to ₹50,000 a year from an employer to an employee fall outside GST, and gifts above that are subject to it. Separately, input tax credit is blocked on goods given away as gifts under section 17(5)(h) of the CGST Act, so budget the GST on the purchase as a cost.

Gifts to clients and business associates. The Income Tax Department's guidance on section 194R requires 10% TDS on any benefit or perquisite given to a resident in connection with their business when the total in a financial year exceeds ₹20,000, with limited exceptions for small individual and HUF businesses. The tax applies to the whole value, not only the excess. The test is per recipient, and a benefit used by an employee of a client company counts towards that company. GST is not included in the valuation, and gifts to Government entities that do not carry on business are outside the rule. Professional commentary says the Income-tax Act, 2025, in force from 1 April 2026, carries this rule forward in its consolidated TDS section. The Income-tax Rules, 2026 sit on the same department's site.

Recipient policies. Many organisations, including government departments, restrict what their staff may accept. Ask before you send.

Plan Backwards From the Delivery Date

Handcrafted gifts run on the maker's clock. Taalapatra advises placing bulk orders ideally 3 to 6 weeks in advance, depending on complexity, quantity and customisation. Made-on-order items cannot be cancelled once confirmed, and delivery dates cannot be guaranteed, so time-sensitive orders need an early conversation. The shipping policy sets out standard processing and delivery times.

A simple schedule, working back from the delivery date:

  • Six weeks before: share your brief, headcount and budget tiers, and ask for a quote.
  • Five weeks before: choose the pieces and confirm any customisation.
  • Four weeks before: approve the packaging and the message or story card.
  • Three to one weeks before: production, packing and dispatch.
  • Delivery week: track every parcel and keep a contact ready for delays.

On that clock, Diwali on 8 November is about a month away, so a bulk brief for it needs to go out this week. For year-end gifting around Christmas and New Year, brief by mid-November.

What to Ask Any Handcrafted Gifting Partner

Before you commit, ask for answers to these in writing:

  1. What is the minimum order quantity for each product?
  2. What can be customised: materials, motifs, packaging, combinations?
  3. What is the realistic lead time for my quantity?
  4. How much will individual pieces vary, and is that acceptable for a set?
  5. How are fragile pieces packed?
  6. Can invoices be left out of the gift parcels, with a separate billing copy for my records?
  7. Can the order ship to several addresses, and how are parcels tracked?
  8. How are damaged-in-transit claims handled when the recipient is an employee or a client?

On the last point, Taalapatra accepts return or replacement requests for damaged or incorrect items within 7 days of delivery, with an unedited unpacking video. In a corporate programme, tell recipients this in advance, or nominate one person to coordinate claims.

Handcrafted Means Slightly Different

No two handcrafted pieces are identical. Small differences in colour, brushwork and finish are the mark of the hand, and Taalapatra's FAQs say so plainly. For a set of 140 terracotta cups or painted coasters, that is the charm. If a recipient list needs exact uniformity, such as a logo or a matching colour, discuss it at the quote stage.

Make the Gift Mean Something

The object is half the gift. The other half is why you chose it.

Add a story card. Taalapatra includes craft stories and artisan information on its product pages and, wherever possible, as inserts in the package. Add a short note from you saying why this craft, and why this year.

Write the message properly. Taalapatra will handwrite a message and include it with a gift order at no extra charge, and gift packages can go without an invoice on request. Ask what is possible for bulk.

Tell your team the story. One internal email on the craft, the family behind it and how to care for the piece turns a delivery into a talking point.

Four Mistakes to Avoid

Briefing late. Handcrafted work cannot be rushed, and made-on-order pieces cannot be cancelled.

One gift for everyone. Tier the budget and match the gift to the person.

Religious imagery for a mixed audience. Choose a neutral craft object when unsure.

Forgetting the paperwork. Decide the tax treatment, the invoice route and the per-recipient totals before the order, not after.

Why Handcrafted

Taalapatra's handcrafted pieces come from artisan families, sourced directly, with no middlemen in between. A corporate gifting order is steady work for those families, which is the kind of demand that keeps a craft alive. It is also the reason a handcrafted gift gets remembered: it comes with a maker and a story.

FAQs

What are good handcrafted corporate gifts in India?

Good handcrafted corporate gifts are useful, neutral and easy to keep: terracotta tea cups, hand-painted wooden coasters, golden grass table mats, paper mache boxes, bags and stationery, or a single statement piece such as a Dhokra figurine or lacquer wall hanging for key clients. Match the gift to the relationship.

How far in advance should I order corporate gifts in bulk?

Ideally 3 to 6 weeks, depending on complexity, quantity and customisation, according to Taalapatra. Made-on-order items cannot be cancelled once confirmed, and delivery dates cannot be guaranteed, so brief early and plan a buffer.

Is there a tax-free limit for gifts to employees in India?

Under the Income-tax Rules, 2026, effective 1 April 2026, the perquisite value of gifts, vouchers or tokens from an employer is nil if the total does not exceed ₹15,000 in a tax year. The earlier limit was ₹5,000. Confirm the details with your chartered accountant.

Is GST applicable on corporate gifts, and can I claim input tax credit?

Gifts up to ₹50,000 a year from an employer to an employee are outside GST, and gifts above that are subject to it. Input tax credit is blocked on goods given as gifts under section 17(5)(h) of the CGST Act, so treat the GST on purchase as a cost.

Do I need to deduct TDS on gifts to clients?

Possibly. TDS at 10% applies to benefits or perquisites given to a resident in connection with their business when the total in a financial year exceeds ₹20,000 per recipient. GST is excluded from the value. Check with your chartered accountant.

Does Taalapatra take bulk and corporate gifting orders?

Yes. Taalapatra offers bulk and corporate gifting options on select products. Minimum quantities vary by product and customisation, so use the Bulk and Custom Orders form on the website or contact customer support before placing the order.

Can handcrafted corporate gifts be customised?

Yes, depending on craft type and order size. Taalapatra lists customisation across materials, motifs, packaging and product combinations. Share your headcount, budget tiers and delivery date in the first conversation.
